2. POPIA commitment
Allpimatt processes personal information for legitimate business, service, legal and compliance purposes and aims to apply the conditions for lawful processing contained in the Protection of Personal Information Act 4 of 2013 (“POPIA”). Personal information should be collected for a defined purpose, processed in a manner compatible with that purpose, kept appropriately secure and retained only for as long as required.
3. Categories of data subjects and information
Depending on the service and relationship, Allpimatt may process information relating to clients, prospective clients, employees, suppliers, representatives, directors, members, shareholders, contractors and other persons connected to client matters. The information may include identification and contact information, company details, financial and accounting records, tax information, payroll information, correspondence, statutory records, payment information and other information necessary for the agreed professional service.
4. Purposes of processing
- Providing accounting, bookkeeping, tax, payroll, reporting, compliance and advisory services.
- Responding to enquiries and preparing for possible engagements.
- Maintaining client and business records.
- Meeting tax, accounting, company, employment, regulatory and legal obligations.
- Communicating with clients and relevant authorised parties.
- Protecting systems, records and business operations.
5. Information Officer
The Information Officer is responsible for encouraging compliance with POPIA, dealing with appropriate information requests, supporting PAIA processes and liaising with the Information Regulator where required. Requests or queries may be sent to richard@allpimatt.co.za.
6. PAIA and requests for access to records
The Promotion of Access to Information Act 2 of 2000 (“PAIA”) provides a process through which a requester may seek access to records of a private body where the statutory requirements are met. Requests are not automatically granted merely because a record exists; the requester must follow the prescribed process and access may be refused where a lawful ground of refusal applies.
How to submit a request
A requester should use the prescribed PAIA request form applicable to private bodies and provide enough detail to identify the requested record, the requester, the right being exercised or protected, and the preferred form of access. Requests should be directed to the Information Officer using the contact details above.
Fees
Where PAIA permits a request fee, access fee, reproduction fee or other prescribed fee, the requester may be required to pay the applicable amount before the request is processed or access is provided.
7. Categories of records that may be held
- Company and statutory records.
- Accounting and financial records.
- Tax and compliance records.
- Client engagement and correspondence records.
- Employee and payroll-related records.
- Supplier and service-provider records.
- Policies, procedures and internal administrative records.
- Website, information security and technology records.
8. Records automatically available
Publicly published website content, public service information and other information deliberately made available without a formal PAIA request may be accessed directly through the website or by contacting Allpimatt. This does not mean that confidential client, employee, tax, financial or internal business records are automatically available.
9. Data subject requests
Requests relating to access to, correction of, deletion of or objections concerning personal information should be sent to the Information Officer. Appropriate identity verification and any prescribed POPIA or PAIA form may be required before a request can be processed.
10. Security safeguards
Allpimatt applies reasonable safeguards appropriate to the nature of the information processed. These may include controlled access, password protection, secure hosting and email practices, confidentiality requirements, backups, software and security maintenance and procedures for dealing with suspected security incidents.
11. PAIA manual
Allpimatt should maintain a PAIA Manual that reflects its actual records, processing activities, Information Officer details and access procedures. A website-ready manual template is included in this project under PAIA Manual, with clearly marked items that must be confirmed before launch.
